Let’s talk about everyone’s favourite topic: getting paid.
As Support Coordinators, we want our participants to receive amazing services, and we want the providers delivering those services to be paid quickly and fairly. But too often, we see great providers facing payment delays simply because their paperwork doesn’t match the NDIS rules.
There is a common misconception that Support Coordinators are the “accounts department” for the NDIS. We aren’t. Our role is to connect services, not to process payments.
To help you get paid on time, every time, we have put together this guide on the “Perfect NDIS Invoice” and who is actually responsible for the bill.
Who is Actually Paying the Bill?
Before you hit “send” on that invoice, you need to know who holds the purse strings. It isn’t always us.
1. If the Participant is Agency Managed

The Payer: The NDIS Portal.

Your Job: You must be a Registered Provider. You claim the funds directly through the myplace provider portal. You don’t need to send an invoice to anyone (though keeping records is essential).
2. If the Participant is Self-Managed

The Payer: The Participant directly.

Your Job: Send your invoice directly to the participant. They are responsible for claiming the funds and paying you.
3. If the Participant is Plan Managed

The Payer: The Plan Management Company.

Your Job: Send your invoice to the Plan Manager (not the Support Coordinator). The Plan Manager is the financial intermediary who draws down the funds and pays you.
4. Where do we fit in? Support Coordinators can help troubleshoot major issues, but we are not the financial guarantor. Sending your invoice to us usually just slows down the process because we have to forward it on.
The “Perfect Invoice” Checklist
Want to sail through the approval process? Ensure your invoice includes every single one of these details. If one is missing, a Plan Manager is legally required to reject it.

Business Details: Your ABN, business name, and contact details.

The Participant: Their full legal name and NDIS Number.

Dates: The specific start and end dates of the service delivered (e.g., 12/05/2025 – 2 hours).

The “What”: A clear description of the support provided. “Service” is too vague. Try “Assistance with community access – Grocery Shopping.”

The “Code”: The exact NDIS Support Item Number (from the Pricing Arrangements) that matches your service.

The Breakdown: The hourly rate and the total hours claimed.

GST Status: Clearly state if GST is applied or if the service is GST-free.
Why “Close Enough” isn’t Good Enough
The NDIS is a government insurance scheme. That means strict audit trails.
If a Plan Manager pays an invoice that is missing an NDIS number or has the wrong date, they can be held liable. That is why they are so strict. They aren’t being difficult; they are being compliant.
When providers submit messy or incomplete invoices, it creates a bottleneck. It forces Support Coordinators to spend hours chasing admin instead of supporting participants to achieve their goals.
